Our guiding privacy principles
The Tutors' Association ('TTA') is fully compliant with GDPR conditions. The main activities of the Association and the provision of services to our members are our legitimate business purposes as defined in the GDPR.
TTA is committed to upholding your privacy as a valued member, prospective member, customer or user of this or any other TTA website. The personal data about you that we collect, process or use (‘Data’) is held securely and treated in accordance with this Policy. Whenever you give us Data, you are consenting to its collection and use as explained at the time of collection and in this Policy.
TTA holds personal data on all its members in order to facilitate membership. GDPR permits TTA to hold the personal data that you provide to us and use it for our legitimate purposes. TTA's processing will be direct related to your membership and is regulated in accordance to this Notice.
TTA provides access to the DBS Check Service – to Individual Members and Individuals associated to Corporate Members whom may not necessarily be a member of TTA - through Capita, who work with some of the country's leading employers and governing bodies for the provision of pre-employment and criminal records checks.
TTA becomes the ‘Watchdog’ in the process and will have full access to details submitted by the applicant whom initiated the application process via Capita’s portal. The personal data provided during this process is held securely and treated in accordance with this Policy. Whenever you give us Data, you are consenting to its collection and use as explained at the time of collection and in this Policy.
We operate an integrated communications programme which means we use your Data to communicate with you through several different channels, including direct mail and email. Our aim is to keep you up-to-date with all the latest news from TTA however, you will be able to adjust your preferences via your Member’s profile page (launching soon) and / or, ‘opt out’ of them individually at any time.
What personal data do we collect?
By becoming a member of TTA, you will need to provide us with Data about you such as your name, address, email address. Similar and other Data such as your number of years' business experience, references, DBS / CBR certificate numbers and other details.
After you first request information from TTA, book to attend a TTA event, provide us with your business card at a TTA event, purchase any other TTA goods or services, or become a registered TTA member, we will collect other Data such as when you request information or publications, sign up for conferences or other TTA events or surveys.
We do not divulge these to any third parties (unless required to by law). We do not publish a members’ list (other than the Members’ directory, see section below) and we do not provide details to our sponsors.
Where authorised, we hold details of Direct Debit mandates and any account balances on your membership. Credit / Debit card details are held securely until processed and then destroyed. They are not subsequently stored in TTA’s office unless specifically authorised by you.
TTA is obliged to maintain financial Data (such as payments and transactions, Debit or Credit card details) for six years which is held securely until processed and destroyed.
Any data provided by Members who no longer wish to be a member and / or customers or users of TTA's products and services will be kept and held securely for two years (it being supplied electronically or hard copy) and subsequently destroyed.
Disclosure of information
TTA’s use of your Data for any of the purposes disclosed in this Policy, or any other purposes disclosed in any separate communication, may involve TTA sharing it with third party suppliers such as contractors, agents or professional advisers appointed by TTA to assist TTA in providing TTA services, facilities and products.
These may include entities located in countries outside the European Economic area (currently the European Union and Iceland, Liechtenstein and Norway), who will be required to comply with our strict privacy requirements, and to demonstrate that they follow best practice guidelines for data protection.
In no other case, unless obliged to do so by law, will TTA sell, rent, lease or otherwise share your Data with third parties, unless you have provided your specific, positive and unambiguous consent.
Photo and Video Disclaimer
Images may be captured during events organised and/or hosted by TTA using film photography, digital photography, video or other mediums. TTA reserves the right to use the images captured in any brochures, booklets, videos, websites or other media and publicity material produced by TTA.
TTA informs all persons taking part in a TTA event that they may be photographed, filmed, videoed or otherwise captured in image form.
Where possible and practical to do so, TTA will seek written consent to image capture. However, where this is not possible for practical reasons, unless express objections are received, individuals attending an event are deemed to have given their consent by attending or remaining at the event.
Maintaining the information we hold about you
TTA aims to keep the Data it holds about you accurate and up to date. If at any time you want to verify, update or amend any Data we hold about you or if you become aware of possible errors or inaccuracies in that Data, please visit your member profile where you are able to view and amend your details online (you will need to be logged in using your username and password). Alternatively contact TTA’s Membership department (email@example.com).
Links to third party sites
TTA’s website and Social Media Channels may contain links to other sites, provided as a convenience to you. You are under no obligation to use these sites, but if you choose to do so, please be aware that these sites have separate content, privacy and data collection policies. Please refer to these before interacting with the site. TTA cannot accept responsibility for any use of your Data by these sites.
TTA may from time to time invite you to participate in surveys. This may occur online or using other communication channels. Anonymity of individual respondents and protection of personal details will be maintained except where you have expressly granted permission to the contrary. Information gathered through surveys will be researched and compiled on an aggregated basis and results may be published on our website or elsewhere. Such results will not identify you. The information will be used to help us formulate our policy positions and to monitor or improve TTA’s Membership offering and products and services.
TTA places great importance on the security of all Data associated with our members, customers, suppliers and other contacts. We have security measures in place to protect against loss, misuse or alteration of Data under our control.
Unfortunately no transmission over the Internet can be guaranteed to be 100% secure. As a result, while we strive to protect your personal data, we cannot warrant the absolute security of any Data you transmit to us online or to any other persons providing products or services online. You are responsible for maintaining the security of your passwords in your possession and/or any account information in your control.
Information submitted to TTA by our Registered Members will be available to all TTA’s website users.
Some of these details are mandatory in order for TTA to process membership, however, all members have the ability to control what is shown publicly by adjusting the privacy in the Members Profile page.
